The complete guide

Shopify barter & creator order operations, end to end

Everything between “the creator said yes” and “the parcel was delivered and the post went up”, in six stages. Each stage links to the in-depth guide for that step. 19 guides, all practical, all written for D2C brands and agencies shipping on Shopify in India.

1. Agree the deal properly

Most order problems are agreement problems wearing an ops costume.

A barter collaboration starts as a conversation on a social platform and usually stays there: what the creator gets, what they post, when, and who owns the content afterwards live in a chat thread nobody can search. Two weeks later, the ops person placing the order has no idea which variant was promised and the finance person has no idea whether the ₹0 order was a gift or a paid collaboration.

The fix is a single message that locks the eleven things that matter before any parcel moves: deliverables, timeline from delivery, usage rights, disclosure, exclusivity, the exact product and variant, address and phone, who pays shipping, what happens on a return, approvals, and how results are reported back. Written once, it becomes the row in your sheet.

2. Collect details you can ship to

A single-cell address from a DM is where RTO begins.

Indian addresses arrive as one line with a landmark, a missing PIN and a phone number that belongs to a messaging app rather than the person who will answer the courier. Every one of those becomes a failed delivery, a return-to-origin charge and a creator who never posts because the product never arrived.

Before anything is placed, every row needs a street line, a city, a state, a six-digit PIN that matches the city, and a ten-digit +91 phone. A spreadsheet can catch most of it; an auto-parser and an AI fix catch the rest. The rule is simple: an address is either shippable or it is pending. Nothing in between gets an order.

3. Place the orders, in bulk, as real ₹0 orders

This is the step that eats the afternoon, and the one that should take minutes.

There are three ways to get a creator order into Shopify: create it by hand from the Orders screen, build a draft order and complete it, or place it through the Admin API from a sheet. By hand costs two to three minutes each. Drafts add a completion step that trial and development stores block outright. Bulk placement from a sheet is the only one that scales past a few dozen a week.

Whichever path you use, create a real ₹0 order. Off-system gifting skips inventory, loses the paper trail and makes month-end reconciliation a guessing game. A real order with a 100% discount decrements stock, shows in fulfilment, and carries the tags finance needs. And place it idempotently: every order should carry a reference tag so a retry after a timeout can never create it twice.

4. Tag everything so reports stay honest

Tags are the cheapest reporting layer Shopify gives you.

A ₹0 order looks like a sale in most reports until you filter it out. A consistent tag vocabulary, one tag per dimension, turns that into a five-second filter: program type (barter, gift, seeding, paid collab), campaign or month, source, and the reference tag that makes retries safe.

Get the vocabulary fixed before volume arrives. Migrating three thousand orders with free-text tags is a week of cleanup that a one-page taxonomy would have avoided.

5. Ship, track and close the loop

The parcel leaving is the midpoint, not the end.

Once orders exist, fulfilment is ordinary work: pack, label, one courier pickup. What separates good programs is what happens next: the creator gets a tracking link the same day, delivery exceptions are watched daily, and an RTO triggers a same-day address check and a fresh order rather than a silent write-off.

A seven-day rhythm with an owner for each day keeps a small team from drowning: capture on day one, validate on day two, confirm stock on day three, place on day four, ship on day five, monitor on day six, review on day seven.

6. Measure what a ₹0 order actually returned

Free product is not free. Measure it like a spend line.

Every barter order carries cost of goods, packaging, shipping and a slice of someone's day. It returns content pieces, reach, code redemptions and reusable assets. A simple per-creator model in a spreadsheet, closed sixty days after shipping, tells you which creators to send to again and which programs to stop.

Agencies running this across many brands need the same model per workspace, plus a console that keeps each brand's store, tags and discounts isolated so one client's orders can never land on another's store.

Questions people ask before they start

What is Scrapora Orqis?+

A bulk order tool for Shopify stores. It takes a spreadsheet of creators, products and addresses and places every order on Shopify in one run, with the discount applied, so barter, collaboration, seeding and gifting orders stop being manual work.

Is it really free?+

Yes, for brands. Create an account, connect your own Shopify store, and place as many orders as you need. There is no card, no trial clock and no invitation. Agencies running many brands from one console are set up with us separately.

How do I connect my Shopify store?+

From Settings you paste the Client ID and Secret of a custom app created in your own Shopify admin. Orqis exchanges them for an access token automatically, checks the exact permissions it needs and shows a checklist. It stays connected from then on; the credentials are encrypted and never shown again.

Which Shopify permissions does it need?+

Four: write_orders to create orders, read_products to load your catalog and variants, write_customers to attach the recipient to the order, and read_inventory so the product picker can show stock. It asks for nothing else.

Are my Shopify credentials safe?+

Credentials are encrypted at rest with a key that never leaves the server and are decrypted only at the moment an order is placed. They are never returned to the browser, never logged, and never shown again after you save them.

Does it create real orders or draft orders?+

Real orders, created directly through the Shopify Admin API with the discount already applied. They appear in your Orders list ready to fulfil. This also means it works on trial and development stores, where completing draft orders is blocked.

All questions are answered on the FAQ page.
